With the help of a customer portal, you can give your customers the opportunity to access relevant Billomat documents—be it invoices, reminders, estimates, credit and delivery notes, or order confirmations.
In order to provide your customers with access to the customer portal, you will first need to specifically define which document types and actions you want your customers to use. Go to “Settings -> Administration -> Customer portal” to define the document types and actions. Moreover, here you can specify whether you would like new customers to be given access to the customer portal by default and also whether this should apply to your already existing customers retrospectively. But you can also explicitly give some customers access and some not by calling up the customer view (Customers -> Select customer -> right-hand box “Customer portal”). If you decide to select “yes” on the customer view page, then a URL linking to the customer portal will be shown. You will need to pass this URL on to the customer in question (for example by e-mail) so that they may attain access to the customer portal.
Moreover, each document that has been cleared for use in the customer portal is associated with a URL linking to that specific document. You will find this URL in the document view, again in the right-hand box labeled “Customer portal.” Should this box not be visible, then please double-check to ensure that both the document type and this particular customer are cleared for the customer portal.
Depending on which document types and actions you have given your customers access to, they will be able to do the following in the customer portal:
- View / print documents
- Comment on documents
- Accept / decline estimates
- Pay invoices
Also, customers will continue to be able to change their basic customer data (contact data, bank account details, tax information), with Billomat thus making it possible for customers to edit their data directly.
If you make use of placeholders in the Billomat system, then you can use the placeholder “customerportal_url” in all document types supported by the customer portal and in connection with the respective customer, for example [Invoice.customerportal_url] or [Client.customerportal_url].
